Padel is currently the worlds fastest growing sport, with new courts and clubs opening on a daily basis, especially in Europe. Gymnastics and Dance Class Sign-Up System
We are delighted to expand our sign up services and lesson attendance management system from swimming into other areas including gymnastics and dance classes. Working with organizations of all sizes we offer a cost-effective, highly configurable and streamlined sign up and payments process, backed by a feature rich lesson and waiting list management system. Implementing our system significantly reduces the admin overheads for staff and removes the need for queueing and phone calls for parents.

Booking System: Check-In Services - Refund On Check-In Feature
Pay per play significantly reduces the possibility of no-shows since the booker has a financial stake in the booking. Combined with a reasonable 'no refund window' this helps ensures attendance. i.e. Any speculative/hopeful bookings that have not been properly arranged are more likely to be cancelled in good time for the slot to be rebooked by somebody else, and not end up as a no-show.

A large proportion of membership clubs however do not want to charge per booking so how can they achieve the facility utilization benefits of pay per play without actually charging their members?

The answer is our new 'refund on check-in' feature! A financial commitment is made at time of booking, but this is refunded as the players check-in at the club to play the match (using one of our many check-in services options).

Booking System: Variable Booking Window by Membership Type
We can vary the booking window so that certain membership types get longer to book than others. Typically this is used to give priority or first refusal to a certain group for available slots, or as an advantage for members over non-members.

Booking System: Check-In Services
This is the first in a new suite of automated services designed to help clubs reduce "no-shows".

A lot of our previous work has been around providing clubs and members with convenient ways to check-in. We have added a new check-in service to automate the follow up when a check-in opportunity is "missed", likely indicating a no-show. This optional service runs daily and emails the lead booker.

Peak Limits Upgrade
With tennis clubs growing their membership bases by around 20% during the pandemic, the courts in most clubs have become much busier. Members are missing out on opportunities to play at peak times and are increasingly putting pressure on clubs to implement new booking rules to help ensure fair usage.

We have extended our suite of peak slot limits to include "per week" options, bringing our peak options in line with standard limits options. This feature supports the choosing of slots and courts on different schedules on different days. A popular choice is to have a 3 per week peak limit across the weekday evening slots and the weekend day time slots. All of our limits come with the option to include or ignore participation as the non booking player.

Facility Entry Code Management - Phase 2
Many of our clubs are unmanned and rely on key pads for access to facilities. We have extended our entry code solution for clubs to self manage their own codes. Feature highlights include:

Check-In Improvements
More Options: For clubs using our "Full Club Solution" we have added a variation on our standard, screen based check-in features to check in using the Smart Member ID as opposed to a password. Quicker and easier to remember.

Status Visibility: Bookings that have been successfully checked in will now display with a green "checked-in" badge on our mobile app.

Check-In System / Smart Cloud Integration
A key challenge for many sports clubs is ensuring that people turn up for bookings and that prime slots do not go unused, which can be difficult to monitor without staff on site. Our ClubManager365 check-in system add-on has been a popular solution, however there is a trade off as to explicitly check-in from a dedicated machine incurs overhead and time cost.

We are delighted to update you that our latest innovation, in conjunction with our partners Smart Club Solutions, allows members to check-in for their booking via a simple Smart card tap. This greatly reduces the time taken to check-in and avoids the need for a dedicated check in machine.

Admin Tools Upgrade
The ever changing pandemic situation has created a lot of turbulence for sports clubs. Schedules, rules, limits and restrictions that would normally be in place unchanged for years are now changing every 6 weeks in some of our clubs. Clubs have had to become a lot more fluid to keep within the required protocols and manage effectively. We continue to upgrade our tools to be able to respond to the requests of our fast growing club base. Recent additions include:

Booking Administrator Configuration View Pages
Over the last 10 years we've added a considerable number of configuration options to accommodate the wide ranging needs our tennis and sports clubs. While many of these are exposed to admin users to be edited as needed, the changing of others is done by request. This is mostly due to potential implications of changes for existing bookings and schedules. We've added 2 new pages help our admin users keep track of what has been set up for them:

  • Rules and configuration history page - includes visibility over 50 settings with changes highlighted
  • New limits and restrictions overrides page - including peak period rules

Reporting: All Bookings and Member Bookings / Downloadable CSV
The latest addition to our reporting suite allows admin users to view all bookings data for the desired period. This includes 2 tabs, one for the raw bookings and one with data grouped by member. Both reports are downloadable as csv files.

Guest Payments and Booking Packages
Our booking process is now configurable with booking packages / guest packages that can be selected at time of booking. Adding a guest can be configured to increment the price for a booking. This add-on module extends our existing booking balances solution.

Member Privacy Overrides
In addition to the various rules at club level that govern the displaying of names in calendars, we've added override options at member level to always hide or show their name, where a club has deemed this appropriate as part of their GDPR policy.

Place Booking System Launch: Swimming, Gym Class and Gym Workout
We started out with a court booking solution which over time became more generic as we added pitch booking and facilities. In the current climate we are helping clubs and organizations with more diverse booking needs such as place booking. We now have a system for booking attendance in a pool, gym or gym class. New Features include:

  • Place booking calendar for members including availability summary / activity name
  • Linked calendars for room and activity - Set the activity and allow members to book their place
  • Per activity occupancy limits (e.g. Room holds 20 people but a spin class is max 15 places)
  • Optional member subscription types with expiry dates - ensure that only those with a paid subscription can book a place

Reporting: New Membership Report / Downloadable CSV
We have begun making reporting improvements in line with our 2020 feature roadmap. We have added a new membership report page covering commonly requested data from club admin users. We have also added a download as csv option so a club can export the data for further analysis. We will continue to add more reporting and download features in the coming months.

Non-Members and Self Sign Up
We've made some improvements in response to significant recent demand around non-members. These users are now recognized and allowed to use facilities subject to the rules and restrictions. Our self sign up service can default the type to non-member allowing somebody to sign up for an account and make a booking.

Limits Feature Additions / Improvements
Following a safe and successful reopening of tennis clubs in Europe, there has been a huge demand for the limited court time available. Many clubs now want to consider participation as an opponent towards daily/weekly/active booking limits. This helps ensure all members get a fair amount of overall court time. We've enhanced the system to optionally consider opponent participation to support clubs in this. We also support custom limits on peak slots.

Social Distancing Features
In line with the announcement in Ireland that tennis clubs can reopen May 18th we have been busy adding features to support our clubs to ensure that this can be done safely and in line with new social distancing policies. Relevant features include:

  • Gaps between slots (new!)
  • Enforcing singles only (new!)
  • Staggered schedules (re-using what was previously a niche feature)
  • Requiring of the 2nd players name (to assist with potential contact tracing)

Facility Entry Code Management

Anonymous Calendar Options Added
Some of our clubs choose not to have names on bookings publicly visible in the calendar. Some choose not to have them visible to logged in members. This can impact process, particularly on a club based information screen. To help offset this we have improved:

Challenge Ladders: Double Bounce
We've added the option for ladder secretaries to activate a double bounce on a per ladder basis. During this period all reach ranges are doubled. It is very popular in some clubs and a great way to encourage participation, giving players and pairings acess to make challenges that would normally be out of reach.

Booking Delegates
Many clubs have family memberships where members (usually parents) are managing multiple accounts to book facilities for other members (usually their children). We've added the ability for our club admins to set up these relationships. On the bookings page we allow these delegates to manage bookings for all their related users under their own account.

Dashboard Player Filters

Block Booking Instances View/Delete

Additional Booking System Unusable Gap Prevention
For clubs using extendable 30 min bookings, we've always optionally supported not leaving a 30 min gap after a booking is made. We are now able to apply this to the before slot, and to deal with more complicated edge cases around gaps in calendars.

Whole New Module – Custom Event Sign Up
We are absolutely delighted to introduce our new custom event sign up module. This allows members and non-members to sign up for coaching, courses, classes and ad-hoc events, significantly reducing admin around managing participation, and handling payments online. The CM365 system can connect to a different Stripe account on a per event basis, facilitating payments to a club, coach or other party as is appropriate for that particular event. We are very excited for the potential this module has to increase participation in club events, particularly where complemented by our other modules such as our club to player messaging system. Simply having the events more easily discoverable and accessible for the club members who are regularly logging in to ClubManager365 to book courts and enter results, more so than the clubs own website, is another immediate benefit. This module also gives clubs an optional landing page for non-logged in users to cater for non-member event signup.

Cancellation Reporting
We’ve extended our reporting to give admin users full visibility of cancellations of bookings. This gives some useful context to clubs which may ultimately be used to further improve utilization, and also helps clubs to clarify any queries around who cancelled a booking.

High Demand Bookings Solution Options - Phase 2
Streamlining the process even further, we've expanded on our April release to allow a user to save their preferences. As the system is allocating facilities it will skip any facilities that the booking player does not want to play on. Further, the system can be pre-configured to automatically book within the desired fall back slot range on a per user basis from that very first click. This can be still be decided at confirm time as per our phase 1 solution if no fall back slots are pre-configured.

Facility Type Specific Preferences (e.g. Indoor / Outdoor Courts)
ClubManager365 already has over 60 booking system configuration options. This gives us the ability to implement the booking rules of almost any club. Further to feedback from tennis clubs we are now allowing a growing number of these options to vary by facility type. E.g. A tennis club member may be unrestricted on the number of outdoor courts they can book at the club, but capped at a maximum of 3 indoor court bookings per week.

Calendar Display - Compact Mode - Full Day With Up To 16 Facilities In One View
Our standard calendar functionality on all devices to use the maximum space available combined with some clever text shortening of match details to optimize the view. This allows the full day and up to 7 facilities to be seen on a modern laptop or monitor without scrolling and with minimal opponent name abbreviation. We’ve now added a compact mode option that can handle full day with up to 16 facilities without scrolling while still showing plenty of context of who is playing on which facility!
For mobile devices compact mode allows up to 8 facilities in one view, an increase of 5 from 3.

Club To Player Email Messaging System - Major Feature Upgrade - Filters
We are delighted to announce our improved club to player email messaging system. Club admin users now use a series of filters to target just the members within the club that the message is relevant to and can send emails with up to 2 file attachments. Supported filters include sport, gender, age, membership type, date joined and a series of "participation filters" for fine grained targeting of those who are active (or inactive) across the various box leagues, challenge ladders and tournaments.

Permanent Slot Watching
We've added the facility for players to keep an eye on the availability of their favourite slots. They simply select which slots and days they are interested in, and will be notified whenever there is a cancellation of the slots.

High Demand Bookings Solution Options
We now offer a more streamlined solution option for clubs with large numbers of people trying to book a limited number of peak slots. As slots become available, facilities are allocated on first click and await a timed confirmation. Alternative slots are offered to those not making the booking shortlist. All requests are prioritized and queued. These are then automatically converted to bookings should higher priority allocations expire or bookings cancelled. Perfect for busy clubs and golf tee time bookings.

Booking System Match Type Customizations
We now fully support custom match types per club, with the ability to highlight in the calendar based on a match type (e.g. a competition match might be highlighted as a warning to others that it might spill over the allotted time). For clubs using extendable 30 minute slots we can also extend the permitted time by match type.
An example combining with existing functionality - Tennis club that permits a booking length of 60 mins for a singles match, 90 minutes for a doubles match (if 3 opponents selected) and up to 2 hours for a competition match.

More Streamlining of the Processes
The latest improvements to make it even easier for players to make bookings and admin users to publish new box leagues. Everybody you played in the last 12 months appears at the top of the opponents chooser list for convenient selection, with the most played at the very top. In addition to automatically applying all the promotions and relegations, the box league creation now removes any player wanting to drop out, and optionally any players that played no matches in the last cycle.

Multi-Purpose Facility Booking
We now offer a more flexible solution for pitch bookings and multi-purpose facilities. This might be an all-weather pitch that can be booked as full, or divided into 3 smaller pitches Soccer Pitch Booking System Example. Another example is a sports hall that can be divided into 2 smaller areas for five-aside football, or a community centre sports hall used as 3 badminton courts, or split into 2 halves. Our system understands how booking one impacts the others.

Check-In System
The system supports a machine at the club being set up as a designated check-in machine, allowing any of the players on the booking to check in within a set time period relative to the match start time. It does not require a full login. This option is offered in addition to, or instead of our reception based check-in system for admin users.

More Granular Booking System Age Restrictions
The system supports minimum and maximum age restrictions configurable on a per facility, per day basis. So if juniors are not allow to play on courts 5, 6 and 7 between 6pm and 9pm on Tuesdays, this can be set up. These age restrictions work directly against date of birth, removing the need for unnecessary admin as player ages change.
